These policies help create a clear, professional, and consistent experience for supervisees, supervisors, and the Island Clinical Supervision platform as a whole.
1. Supervision Agreement Requirement
All supervisees must sign a formal supervision agreement prior to beginning services.
The agreement outlines the scope of supervision, expectations, confidentiality, documentation responsibilities, scheduling standards, and licensure compliance.
2. Billing and Subscription Terms
- Supervision tracks are structured as 12 month subscriptions.
- Payment is processed automatically each month.
- Fees are non refundable once the billing cycle begins.
- Tier changes take effect at the next billing cycle and are subject to availability.
Membership and billing are managed through the Island Clinical Supervision platform. Scheduling is handled separately through Jane.
3. Attendance and Scheduling
- Supervisees are responsible for attending scheduled sessions.
- Missed sessions are not guaranteed to be rescheduled.
- Make up sessions are offered only when supervisor availability allows.
- Repeated absences may result in termination of the supervision agreement.
If you are unsure which session type to book or cannot find a time that works, contact support before making assumptions or booking the wrong session.
4. Group Supervision Conduct
- Group supervision is limited to a maximum of 6 participants.
- Confidentiality of case material is required.
- Professional conduct is expected at all times.
- Breach of confidentiality may result in termination from the program.
Group supervision is intended to be a professional learning environment. Respect for peers, supervisors, and the supervision process is required.
5. Confidentiality
Supervision sessions are confidential and intended for professional consultation.
Supervisees remain responsible for protecting client privacy in accordance with HIPAA, applicable law, and professional ethical standards. Case consultation must always be handled with sound professional judgment.
6. Compliance Responsibility
Supervision is structured to align with Hawaiʻi DCCA board requirements. However, supervisees remain responsible for verifying their own licensure requirements and ensuring their eligibility for board submission.
Island Clinical Supervision provides structure and support, but it does not replace the supervisee’s responsibility to understand and comply with current board standards.
7. Termination of Supervision
Supervisors reserve the right to terminate the supervision relationship due to ethical concerns, non payment, repeated absence, professional misconduct, or other serious concerns that interfere with the integrity of the supervision process.
Written notice will be provided.
8. Technology Policy
- All virtual sessions require a stable internet connection.
- Sessions must be attended from a private and appropriate setting.
- Professional presentation and conduct are expected during virtual sessions.
- Recording sessions without written consent is prohibited.
Members and supervisors are responsible for using the platform and connected tools in a way that supports privacy, professionalism, and reliable participation.
9. Platform Use
Island Clinical Supervision provides a structured digital environment for scheduling, resources, and support. Users are expected to use the platform honestly, professionally, and in good faith.
Access may be limited, adjusted, or revoked if the platform is used in a way that is disruptive, abusive, dishonest, or inconsistent with program expectations.
10. Hours and Logged Sessions
Completed supervision sessions are logged by supervisors. Members should not assume that attendance alone guarantees any specific hour outcome without proper completion and supervisor confirmation.
If a member believes there is an error in recorded sessions or logged hours, they should contact support promptly.
11. Communication Expectations
Members and supervisors are expected to communicate respectfully, professionally, and in a timely manner.
Platform questions, scheduling issues, and support needs should be directed through the appropriate support channels whenever possible rather than relying on informal or repeated direct outreach.
12. Policy Updates
Island Clinical Supervision may update platform policies, workflows, and standards over time in order to improve clarity, consistency, and the overall quality of the user experience.
Continued use of the platform implies acceptance of the current version of these policies.
